πŸ”§ Ceridian Dayforce Integration Setup

To connect your Ceridian Dayforce account to Fleet, you must create an administrator user with specific permissions and provide the login credentials securely through Fleet's connection process.

Before you start

Please ensure that you have Administrator privileges in Ceridian Dayforce before continuing with the instructions below. If you are not an administrator or are unsure, reach out to your HR team to confirm or give you admin rights.

⚠️ Note: If you are not able to follow the instructions below, please contact your Fleet onboarding specialist and share that you would like to add Fleet as an External Administrator. This will help us coordinate the setup process.

Overview of Required Steps

To connect your Ceridian Dayforce account to Fleet, you will need to complete the following steps:

  1. Create an additional admin user in your Ceridian Dayforce system with the required permissions

  2. Assign the user a username and temporary password

  3. Confirm the reference code associated with the location you wish to connect

  4. Provide the credentials securely through Fleet's HRIS Connection Widget

Instructions

Step 1: Creating a new role

  1. Log in as an administrator to create a new role for your organization

  2. Navigate to System Admin > Roles > + Add

  3. Configure the role settings:

    • Name: Choose a descriptive name that indicates this role is for integration purposes (e.g., "Fleet Integration Role")

    • Description (Optional): Add a brief description of the role's purpose

    • Password Policy: Keep the default selected value

    • Reference Code: Use the same value as the Name field, in uppercase without spaces

    • Keep the other checkboxes blank

  4. Click on "Save" on top left

Step 2: Configuring role permissions

Configure the permissions for the role you'll assign to the user.

  1. Under System Admin > Roles in the left menu, select the role you created in the previous step

  2. Navigate to the Features tab to make the following changes and click Save once complete

  1. Click on the Web Services Field-Level Access tab and select the checkbox for RESTful Services

  2. Click Save in the upper left corner

Step 3: Creating a new user

  1. Navigate to System Admin > User > + New

  2. Expand the row to configure the user

  3. Select the Properties tab and fill out the following information:

    • User Name: Create a descriptive username for the Fleet integration user

    • Culture: English (US)

    • Approved: Ensure this is checked if it appears; this may not appear in all accounts

    • Password: Fill in a temporary password

    ⚠️ IMPORTANT: Make note of both the username and temporary password as you will need to provide these securely through Fleet's connection process

  4. Click +User Role

  5. Click on the User Roles column to reveal a dropdown menu

  6. Assign the role you created in Step 1

  7. Set the date fields:

    • Start Date: Today

    • End Date: Leave blank; if this field is required, we recommend 2 years from today

  8. Select the Location Address tab

  9. Click +Add Location

  10. Click on the Location column and ensure all locations you wish to connect to Fleet are selected

  11. Select the Pay Group Admin Access tab

  12. Click +Add Pay Group

  13. Click on the Pay Group column and ensure all pay groups you wish to connect are selected

  14. Click the Save button on the top left corner of the page

Step 4: Verify your company Reference Code

Cross-reference codes (also known as reference codes and XREF codes) are used by Dayforce in imports and exports to integrate with other applications like Fleet.

  1. Navigate to Org Setup > Organization

  2. Under the "Organization" tab, select the company you assigned to the user created in Step 3 (the company selected in "Location access")

  3. Note the value in the Reference Code field β€” you'll need this for the Fleet connection process

NOTE: Each location is assigned a unique reference code. If you wish to connect multiple locations to Fleet, you will need to note the reference code for each location.


Step 5: Connect Using Fleet's HRIS Connection Widget

  1. Navigate to your Fleet Dashboard

  2. If you're not automatically redirected to the HRIS connection step, go to: My Commuters β†’ Add Commuters β†’ Connect HRIS

  3. This will launch Fleet's HRIS Connection Widget (powered by our secure HRIS partner, Finch)

  4. In the widget's search bar, search for "Ceridian Dayforce" in the provider list

  5. Select Ceridian Dayforce to begin the setup flow

  6. You'll be prompted to securely provide the following information:

    • Username: The username of the user you created in Step 3

    • Password: The temporary password you assigned to this user (this will be immediately rotated and secured)

    • Company Name: The company name you use to login to your Ceridian Dayforce account

    • Reference Code: The reference code you noted in Step 4

  7. Click Connect

Step 6: Select a Company to Connect

Fleet's HRIS connection Widget will prompt you to select which company you'd like to connect. This list is pulled directly from your Ceridian Dayforce system and reflects where employees are assigned.

The company you connect will be the only company Fleet will retrieve data for. If you have other companies you also want to connect, you will need to repeat the connection process for each additional company.
