This streamlines eligibility tracking, onboarding, and ongoing program management, saving your internal team an estimated 20β40 hours per month.
This guide walks your team through the exact steps required to create a UKG Pro administrator user with the appropriate permissions for Fleet's integration.
Important: This guide applies to UKG Pro with benefits scope. If you're using UKG Ready, please contact your Fleet onboarding specialist for the appropriate setup instructions.

π§ UKG Pro Integration Setup
To connect your UKG Pro account to Fleet, you must create an administrator user with specific permissions and provide the credentials through Fleet's secure connection process.
Before you start
Please ensure that you have Administrator privileges in UKG Pro before continuing
Verify that you're using UKG Pro with benefits scope (not UKG Ready)
Have access to create new employees and assign administrative roles
Instructions
Step 1: Create a New Administrator Employee
Log in to your UKG Pro account
Navigate to the Administration tab
Click on Manage Employees > My Employees
Click on the + icon to add a new employee (a new window will open)
Fill out the required fields in each section. Click Next β to navigate between sections:

Click the Save icon located on the top right
Confirm that the administrator employee has been successfully created
Step 2: Configure Administrative Permissions
After creating the employee, you need to assign the appropriate administrative roles and permissions:
Navigate to System Configuration > Role Administration
Select an appropriate Administrator Role or create a new role specifically for integrations
Configure Web Access Rights to include the following permissions:

Save the role configuration
Assign this role to the Fleet integration administrator user created in Step 1
Step 3: Generate Secure Credentials
For security purposes, you'll need to provide the login credentials through Fleet's secure connection process:
Note the username you created for the Fleet integration administrator
Set a secure temporary password for this account
Ensure the account has active status and login permissions
β οΈ Important Security Note: These credentials will be used only for the initial secure connection setup and will be immediately rotated and secured by Fleet's integration partner, Finch.
Step 4: Connect Using Fleet's HRIS Connection Widget
Navigate to your Fleet Dashboard
If you're not automatically redirected to the HRIS connection step, go to: My Commuters β Add Commuters β Connect HRIS
This will launch Fleet's HRIS Connection Widget (powered by our secure HRIS partner, Finch)
In the widget's search bar, search for "UKG Pro" in the provider list
Select UKG Pro to begin the setup flow
You'll be prompted to securely provide the following information:
Username: The username of the administrator you created in Step 1
Password: The temporary password you assigned
Company Name: Your organization name as it appears in UKG Pro
The system will verify the connection and permissions
Click Connect to complete the integration
Step 5: Verify Connection and Data Sync
After successful connection, Fleet will begin syncing your employee data from UKG Pro:
The initial sync typically completes within 10-15 minutes
Ongoing updates happen automatically every 24 hours
You can verify the connection by:
Checking your Fleet dashboard for imported employee data
Confirming that employee count matches your expectations
Reviewing any sync status messages or notifications

Security Best Practices
Monitor Access: Regularly review the Fleet integration user's activity in UKG Pro audit logs
Update Credentials: If needed, you can update the integration user's password through UKG Pro
Permission Reviews: Periodically review and confirm that permissions remain appropriate
Troubleshooting Common Issues
Connection Errors: Verify that the integration user account is active and has all required permissions
Data Sync Issues: Check that employee records are properly configured in UKG Pro
Permission Issues: Ensure the integration user has access to all necessary modules and data types
Revoking Access
If you need to disconnect Fleet's access to UKG Pro:
Navigate to Manage Employees in UKG Pro
Locate the Fleet integration user
Deactivate or terminate the user account
Contact Fleet support to confirm the disconnection
