This streamlines eligibility tracking, onboarding, and ongoing program management, saving your internal team an estimated 20β40 hours per month.
This guide walks your team through the exact steps required to verify or create ADP Run Owner-level access for Fleet's integration.

π§ ADP Run Integration Setup
ADP Run requires Owner-level access to connect with Fleet. You have two options: use your existing Owner credentials or create a dedicated Owner user for the integration.
Before you start
Ensure you have Owner access to your ADP Run account
If you're unsure of your permission level, follow the verification steps below
Have access to create new users (if needed)
Option 1: Verify Your Existing Owner Access
If you plan to use your current ADP Run credentials for the Fleet integration:
Step 1: Check Your Current Permissions
Log into your ADP Run account
Navigate to Settings > Manage User Access
Locate your user account in the list
Verify that your user is assigned the Owner role
If you see Owner next to your name, you can proceed directly to Step 3: Connect Using Fleet's HRIS Connection Widget.
If you don't have Owner access, either:
Ask an existing Owner to grant you Owner permissions, or
Follow Option 2 to create a dedicated integration user
Option 2: Create a Dedicated Owner User (Recommended)
Creating a dedicated user for Fleet integration provides better security and audit tracking.
Step 1: Remove Any Existing Integration Users
β οΈ Important: If there is already an admin user in your ADP Run account for a similar application integration, please delete or deactivate this user before proceeding.
Navigate to Settings > Manage User Access
Look for any existing integration or application users
Remove or deactivate them as needed
Step 2: Create a New Owner User
Log into your ADP Run account with your Owner login credentials
Navigate to Company > Add Users or Company > User Security
Click on Add User
Fill in the integration user details:
Required User Information
First Name: Fleet
Last Name: Integration
Email Address: Create a dedicated email address for this integration (e.g., fleet-integration@yourcompany.com)
Username: Create a unique username (e.g., fleet-integration-user)
Role: Select Owner
Configure additional settings:
Password: Set a secure temporary password (this will be updated during the connection process)
Security Questions: Complete required security questions
Account Status: Ensure the account is set to Active
Save the changes to create the new user
The new user will receive an email invitation to activate their account
Step 2a: Activate the New User Account
Check the email inbox for the new integration user
Follow the activation link in the email
Complete the account setup process
Verify that the user can successfully log into ADP Run
Confirm that the Owner role is properly assigned
Step 3: Connect Using Fleet's HRIS Connection Widget
Navigate to your Fleet Dashboard
If you're not automatically redirected to the HRIS connection step, go to: My Commuters β Add Commuters β Connect HRIS
This will launch Fleet's HRIS Connection Widget (powered by our secure HRIS partner, Finch)
In the widget's search bar, search for "ADP Run" in the provider list
Select ADP Run to begin the setup flow
You'll be prompted to enter your ADP Run credentials:
Username: Your ADP Run Owner username (either your personal account or the dedicated integration user)
Password: Your ADP Run password
The system will verify your Owner-level permissions
Review the data permissions that will be shared with Fleet
Click Connect to complete the integration
Step 4: Verify Connection and Data Sync
After successful connection, Fleet will begin syncing your employee data from ADP Run:
The initial sync typically completes within 5-10 minutes
Ongoing updates happen automatically every 24 hours
You can verify the connection by:
Checking your Fleet dashboard for imported employee data
Confirming that employee count matches your expectations
Reviewing any sync status messages or notifications

For Dedicated Integration Users
Regular Password Updates: Change the integration user password periodically
Monitor Access: Review the integration user's activity in ADP Run's audit logs
Limited Use: Use the integration account solely for Fleet connectivity
For Personal Account Access
Enable Two-Factor Authentication: Add extra security to your ADP Run account
Regular Reviews: Periodically verify that only authorized integrations have access
Separate Credentials: Consider creating a dedicated user for better security isolation

Updating User Information
To modify the integration user:
Navigate to Settings > Manage User Access in ADP Run
Locate the Fleet integration user
Click Edit to modify user details
Save changes and notify Fleet support if credentials change
Revoking Access
If you need to disconnect Fleet's access to ADP Run:
Navigate to Settings > Manage User Access
Locate the Fleet integration user (or your personal account if used)
Change the role to a lower permission level or deactivate the user
Contact Fleet support to confirm the disconnection
