πŸ”§ Paylocity Integration Setup

Paylocity requires Super Admin permissions to connect with Fleet. This typically requires access from your company's HR or payroll manager. Paylocity offers two authentication methods - we'll cover both options.

Before you start

  • Ensure you have Super Admin access to your Paylocity account

  • Verify that you can access HR/Payroll > User Access in Paylocity

  • Note your Company Code (located at the top right of your Paylocity homepage)

  • Determine which authentication method you prefer (credential-based or API key)

Option 1: Credential-Based Authentication (Traditional Method)

This method involves creating a dedicated administrator user for Fleet integration.

Step 1: Create a New Administrator User

  1. Log into your Paylocity account with Super Admin privileges

  2. Navigate to HR/Payroll

  3. Select User Access and then User Accounts

  4. Scroll down to the bottom and select Add Non-Employee

Step 2: Configure Administrator Details

Fill in the following information for the Fleet integration administrator:

Required User Information

  • Account Status: Enabled

  • Security Group: Company Administrator

  • User ID: Input the last ID + 1 (Paylocity will suggest the next available ID)

  • First Name: Fleet

  • Last Name: Integration Support

  • Work Phone: Your company's main phone number

  • Email: Create a dedicated email address for this integration (e.g., fleet-integration@yourcompany.com)

  • Username: Create a descriptive username (e.g., fleet-support or fleet-integration)

  • Password: Create a secure temporary password (e.g., Fleet123!)

⚠️ Important: The password provided is temporary and will need to be changed on the first login.

Optional Information

  • Notes: "Fleet integration administrator - do not delete"

Step 3: Save and Note Credentials

  1. Click Save to create the administrator account

  2. Record the following information for the connection process:

    • Username you created

    • Temporary password you set

    • Your company code (from top right of Paylocity homepage)

    • Company name

Step 4: Connect Using Fleet's HRIS Connection Widget

  1. Navigate to your Fleet Dashboard

  2. If you're not automatically redirected to the HRIS connection step, go to: My Commuters β†’ Add Commuters β†’ Connect HRIS

  3. This will launch Fleet's HRIS Connection Widget (powered by our secure HRIS partner, Finch)

  4. In the widget's search bar, search for "Paylocity" in the provider list

  5. Select Paylocity to begin the setup flow

  6. Choose Username/Password Authentication

  7. Enter the credentials you created:

    • Company Code: Your Paylocity company code

    • Username: The username you created in Step 2

    • Password: The temporary password you set

  8. Click Connect to complete the integration

Option 2: API Key Authentication (Recommended)

Paylocity now offers API key authentication for a more secure and streamlined connection process.

Step 1: Request API Access from Paylocity

  1. Contact your Paylocity Account Manager or support team

  2. Request API access for third-party integration purposes

  3. Specify that you need:

    • Client ID

    • Client Secret

    • Company ID (this may be the same as your Company Code)

Step 2: Obtain API Credentials

Paylocity will provide you with:

  • Client ID: A unique identifier for your organization

  • Client Secret: A secure token for authentication

  • Company ID: Your organization's identifier in Paylocity's system

⚠️ Security Note: Keep these credentials secure and only share them through Fleet's secure connection widget.

Step 3: Connect Using API Authentication

  1. Navigate to your Fleet Dashboard

  2. Go to My Commuters β†’ Add Commuters β†’ Connect HRIS

  3. This will launch Fleet's HRIS Connection Widget

  4. In the widget's search bar, search for "Paylocity"

  5. Select Paylocity to begin the setup flow

  6. Choose API Key Authentication (if available)

  7. Enter your API credentials:

    • Client ID: Provided by Paylocity

    • Client Secret: Provided by Paylocity

    • Company ID: Your organization identifier

  8. Click Connect to complete the integration

Step 5: Verify Connection and Data Sync

After successful connection using either method, Fleet will begin syncing your employee data from Paylocity:

  1. The initial sync typically completes within 10-15 minutes

  2. Ongoing updates happen automatically every 24 hours

  3. You can verify the connection by:

    • Checking your Fleet dashboard for imported employee data

    • Confirming that employee count matches your expectations

    • Reviewing any sync status messages or notifications
