Fleet only requests the minimum employee data necessary to enable compliant commuter-benefit administration, eligibility verification, and reporting.

Required Employee Data

Data Field

Purpose / Use

Work email address

Used for account setup, authentication, and employee communication.

Home address

Used to determine commute distance and verify eligibility under city and state commuter ordinances.

Worksite address

Used to confirm applicable regional compliance requirements.

Employment status (full-time or part-time)

Used to verify benefit eligibility and allocation rules.

Optional Employee Data

Data Field

Purpose / Use

Employee ID or unique identifier

Used to maintain consistent reporting across HR, payroll, or benefits systems.

Department, title, seniority, or other miscellaneous data

Used for optional program segmentation and reporting, such as grouping employees by team, role, or level.

RTO requirement (e.g., hybrid, in-office)

Enables commute analysis and location-based program design.

Not Collected or Processed

Fleet does not collect or store sensitive personal information such as:

  • Social Security Numbers

  • Date of birth

  • Bank account or payroll amounts

  • Health information

  • Any other special category data

Data Use & Protection

All data shared with Fleet is used solely for the purpose of providing and supporting the commuter-benefits program, in accordance with Fleet’s Master Services Agreement, Data Processing Addendum, and Privacy Policy.

Security & Contact

All employee data is encrypted in transit and at rest, and access is restricted to authorized personnel only. Fleet maintains strict administrative, technical, and physical safeguards to protect employee information.
